Admission Procedure
We recommend that one or both parents attend an open house to learn more about the programs, see the facilities, and observe the daily routines. You will see firsthand how
Tokyo
Gifted
Academy provides an extraordinary education which helps its students to develop into self-motivated learners, independent thinkers and mature young people.
The purpose of the interview is for the family to learn about the school, and the school to learn about the child and the family, in order to see if we would be the optimal learning environment. During the interview we gain a better understanding of your child and a clearer understanding of how you view your child. The interview lasts approximately one hour with ample time available for parents to ask questions.
1) Parent Interview: Interested families should contact the Admissions Office to schedule an interview. Required Tests: (for testing arrangements please contact the Admissions department) All students should have an intellectual assessment test, and students entering the Elementary/ Middle school class must have a copy of the student's current report card, as well as the final report card, for two previous years (transcript), sent to Admissions office. This testing gives us a preliminary profile of intellectual potential and capability. “Frequently asked questions about testing and assessing giftedness” http://www.gt-cybersource.org/Record.aspx?NavID=2_0&rid=11376
a) We recommend that your child attend one of our testing sessions that are held in October and March. The tests are administered and interpreted by licensed professionals from the Gifted Development Center in Denver, Colorado http://www.gifteddevelopment.com If the parents arrange for their own summary of the intellectual assessment, the accepted testing instruments are the Stanford-Binet 5 (SB-5), Wechsler Preschool and Primary Scale of Intelligence Third Edition or Revised edition (WPPSI-III or WPPSI-R), and the Wechsler Intelligence Scale for Children Third Edition or Fourth Edition (WISC-III or WISC-IV ). More information about IQ tests
b) Academically, students must be performing above grade level. We are looking for children that score around the top 5% on the Woodcock-Johnson tests of Cognitive Abilities (WJ-III).Typically at school your child will take an achievement test every few years. These tests measure the degree that your child has retained the information to which he/she has been exposed. The results of these tests are helpful on determining where your child stands academically in relation to his/her national peers. Everyone takes the same test according to the same rules. This makes it possible to measure each student's performance against that of others. The group with whom a student's performance is compared is a "norm group" and consists of many students of the same age or grade who took the same test. However, standardized tests of ability and achievement can be of greater value in forming a basis for identification.
2) Application Packet Upon receipt of the required tests, assuming your child has met the minimum requirements parents will be contacted and sent an Application Packet. The completed application must be accompanied by a one time application fee of ¥20,000 in order to have your child evaluated for enrollment. We want be as sure as we can that
Tokyo Gifted Academy is the right place for your child. We ask our staff to devote significant amounts of time observing and evaluating, consequently, this fee is non-refundable.
3) Recommendations Applicants are required to have two recommendation forms completed by present teachers or the principal sent directly to Tokyo Gifted Academy Admissions Office by the current school. The Request for Student Records and Principal Recommendation is to be given to the Director/Principal of your child’s present school. The Teacher Recommendation is to be completed by your child’s current teacher after the first grading period or parent conference. For older children in particular, their academic record provides valuable information about their achievement, motivation and work habits. These records and recommendations are additional opportunities for us to learn about your child and about your family’s involvement in the current school.
4) Applicant class visit: When the complete application, test results, and teacher recommendations have been received, the student visit will be scheduled. All prospective students, Elementary and Middle School, need to spend two full days in the classroom; prospective Primary students must spend one day. This very important visit permits your child to experience our unique program and concurrently affords our faculty the opportunity to evaluate your child for placement at
Tokyo
Gifted
Academy. The purpose of this visit is to observe the children's social and emotional development, and to assess their developmental readiness for our program. We work very hard to be as confident as possible that your child will be successful in our exciting and challenging program.
5) Admissions Review: After the class visit, an admission team comprised of the Head of School and the teaching staff would review all prior records, the application, and assess performance during the class visit and then make appropriate recommendations regarding admission. When deciding which class to place a child, we look at a number of factors that include: the age of the child; emotional, social and physical development; academic levels; previous academic experience; placement of siblings; and particular needs of the child or family. All admission decisions are made by a committee that studies each applicants file in depth. The file is composed of:
a) The application for admission
b) Standardized achievement tests
c) IQ test results
d) Characteristics of giftedness checklists
e) A confidential teacher recommendation from the applicants current teacher (if applicable)
f) Parent interview
g) Parent questionnaire
h) Child observation/visit
6) Enrollment Policy:
Tokyo
Gifted
Academy has an ongoing enrollment policy during the school year; a student may be admitted mid- year if space is available. If a student is enrolling for the fall semester, the Student Selection Committee represented by the Admissions Office will notify the parent(s) and student of acceptance by mid- February (mid-October for students enrolling for the spring). We will not be able to offer an enrolment contract until all the required paperwork and the application fee have been submitted. The required paperwork does not reserve a space for your child.
7) Contract: Once a contract has been tendered and you have been notified by phone of your child’s acceptance, we request that you return the signed tuition agreement, signed contract and remit the required Tuition and Fees. Upon receipt of the signed contract and enrollment fee, a space will be reserved for your child in the appropriate class. We will not be able to reserve a space should you not respond within the time allotted (two weeks after the contract has been tendered). In the case that the applicant is company sponsored, special payment arrangements can be arranged.
8) Wait List: If a space is not currently available, your child will be placed in queue on the wait list. When an opening occurs the faculty re-evaluates the student for admission. If the student qualifies for admission but space is not available, the applicant is placed in a waiting pool. Should an opening occur, all the applicants in the waiting pool are reviewed and an applicant is selected for the space. The priority runs as follows: currently enrolled students are offered the first spaces; qualified siblings of current students are offered the next spaces; qualified new applicants are offered the final spaces.
9) Photo: In order to help us remember each candidate, a photo of your child is very helpful to the Admissions Committee. The photo should be no larger than 3.5 x 5 inches. Please print the child’s name on the back of the photo.
Tokyo Gifted Academy admits students without regard to race, color, religion, sex, national and ethnic origin and entitles them to all the rights, privileges, programs and activities generally accorded or made available to students at the school.
